Data Protection
Important information: please read this carefully
When anyone asks us for a grant we have to collect information about the person
or charity making the request, so that we can make a decision about their case.
For charities applying for a grant, this is usually straightforward, although we
still need permission from the charity to collect their information, and their authorised
person will be asked to agree this when they sign our application form. For
grants to individuals however, we need to ask applicants for personal
information about family life, health, finances and background. The Data Protection
Act is in place to make sure that organisations do not misuse such information.
We must tell you what information we hold about you, and what we do with your information.
The law says that we cannot hold and use this information about you without your
consent.
We hope that this summary makes it clear what we will do with your information.
We want you to feel confident about submitting your application form, saying that
you do agree. Only then can we consider making you a grant. Without your agreement,
it will be against the law to hold details about your application.
What we will do with your information
- Once we have received your application (and your agreement), it will be held on
our secure website. Any additional information that you send us or which we receive
from your referee will also be held securely.
- If you receive a grant, all your details will be printed and held in a case file,
along with the evidence that you send us about your nationality and residency in
the UK. Brief details will also be held of any payments we may make to you.
- We will not keep this information any longer than we need to. All papers on your
file will normally be shredded within seven years of our last contact with you.
Most of the information held on our computer system will be erased at the same time.
Details of other people
Your application will contain personal information, not only about you but also
possibly about other people, such as your parent/s or partner. If this is the case,
please show this information to the people concerned and ensure that they are happy
for us to hold and use information provided about them.
Sometimes you may not want to show this statement to others or obtain their consent.
For example, we would not expect you to get in touch with a violent or unhelpful
ex-partner; you might not want to involve children who you felt were too young or
vulnerable; or there might be others with whom you have lost contact. We would not
expect you to obtain their consent in such cases.
Confidentiality and Security
The information in your case file is entirely safe with us. We may pass details
of any grant we make to another charity (or charities) if we believe they may be
able to help meet your needs. Nobody else will be allowed to see your file or access
your information.
From time to time, the Trust may contact successful applicants to request a short
article detailing their experiences since receiving a grant, so that they might
encourage and enthuse others to apply. Such articles will only be published on the
website with the consent of the author.
Your application
All the information that you submit to us on this application must, to the best
of your knowledge and belief, be true, non-fraudulent, accurate and complete.
All applications are considered by the Thomas Wall Trust acting in its sole discretion.
There is no guarantee that any application for a grant will be successful.
